Corporate NFC Business Cards — one brand template, and a card you can switch off

Printed cards have two problems a company feels and an individual does not: they drift out of brand with every reprint, and they cannot be recalled when someone resigns. Beeps profiles are created from a template you control and unlinked the day an employee leaves. 20 of them cost ₹5,000 a year on one invoice.

20 profiles, one template
Central control, one invoice
The two problems only companies have

A printed card cannot be recalled, and it cannot be kept on brand

An individual who reprints their card badly affects only themselves. A company reprinting badly across four offices and three years ends up with staff carrying visibly different cards, none of which quite match the current logo — and because each reprint is a small local decision, nobody ever makes the call to fix it.

The second problem is harder to see and worse. When an employee resigns you take back the laptop, the ID badge and the building access, and then you do nothing at all about the several hundred cards they have handed out over four years. Each one still carries your company name next to a phone number that now belongs to a competitor's employee. There is no way to retrieve them, which is exactly the gap a hosted profile closes.

Problem → Solution → Outcome

What central control actually buys you

Problem
A leaver's cards stay in circulation forever
Solution
Unlink the profile and every card they gave out goes dead
→ Offboarding actually finishes
Problem
Every office prints a slightly different card
Solution
One template, filled in centrally, applied to all profiles
→ The brand stops drifting between print runs
Problem
A promotion invalidates a box of cards
Solution
Designation is a field, not a print job
→ Titles change without a reorder
What belongs on it

What goes on a company profile

A locked brand template

Logo, colours, typography and section order set once and applied to every profile, so a new joiner cannot accidentally invent a house style.

Role, department and office

The fields that change most often and cost the most to reprint. Editing them takes a minute and reaches every card already handed out.

The right way to reach that person

Direct line, desk extension, WhatsApp for field staff, calendar link for anyone who takes meetings — set per role rather than per company.

Office location and reception

A Maps link to the right building, which matters more than it sounds when your registered address and your actual office are different places.

Company brochure or deck

A PDF attached to the profile means every employee hands out the current version, not the one saved on their laptop in March.

Languages the person speaks

Useful in a country where the next meeting may be in Hindi, Malayalam or English, and worth knowing before the call is booked.

Across the employee lifecycle

Four points where it shows up

A new joiner on day one

Their profile is created from the template before induction ends, so they leave their first week able to introduce themselves properly instead of waiting three weeks for cards.

The week after a rebrand

A new logo normally means every employee carries the old one until their box runs out. Here the template changes once and every profile is correct that evening.

Conferences and delegations

Six people from the same company at one event, all handing out the same well-made profile rather than four generations of card design.

The exit interview

Closing an account used to mean collecting a laptop and an ID badge while the cards stayed out in the world. Now the profile is switched off with everything else.

Common pitfalls

Where company card programmes quietly go wrong

Each of these is invisible for about a year, and then expensive to unpick.

The mistake

Every office orders its own reprint

Four offices, three years, and a slightly different logo each time. Nobody ever decides to let the brand drift - it happens one small local reorder at a time.

Instead

One template, filled in centrally

Layout, colours, logo placement and field order set once. A new joiner fills in their own details and cannot invent a house style by accident.

The mistake

Offboarding stops at the laptop

You collect the laptop, the badge and the building access, and do nothing about the several hundred cards the person handed out over four years. Every one still carries your company name.

Instead

Make the profile part of the exit checklist

Unlink it and the cards stop resolving the same afternoon. It is the only part of a leaver's footprint you can actually recall.

The mistake

Designations printed onto the card

A promotion invalidates a box of cards. For a company of any size, titles and desk numbers change far more often than names do, and each change wastes a print run.

Instead

Keep the volatile fields on the profile

Role, department, desk line and office become edits rather than reorders. The name on the card is the only part that needs to be permanent.

Getting started

Rolling this out across a team

A sequence that avoids the two problems above rather than creating them later.

  • Build the template before you create a single profile. Retrofitting a brand standard onto profiles people have already customised is far harder.
  • Decide which fields employees control. Photo, direct line and calendar usually should be theirs; logo, colours and section order usually should not.
  • Add profile deactivation to your offboarding checklist in writing, next to laptop return.
  • Start with profiles and QR codes in email signatures before ordering physical cards, so you learn who actually needs one.
  • Order cards only for the people who meet others face to face. Enterprise covers the profiles either way, and cards are priced per person.

FAQ

What HR and procurement ask

What happens to an employee's card when they leave?

You unlink it from the dashboard and it stops resolving. This is the difference that usually decides the purchase: a printed card cannot be recalled, so every card a departing employee ever handed out keeps pointing at your company with their details on it, indefinitely. With a hosted profile the card in a stranger's drawer goes dead the same afternoon HR closes the file.

How do we stop every department printing a different card?

Profiles are created from a template you control, so the layout, colours, logo placement and field order are set centrally and the employee fills in only their own details. The usual drift — where the Mumbai office reprints with a slightly different logo and nobody notices for two years — stops being possible.

Someone changed designation. Do we reprint?

No. The title, department, phone number and reporting office are fields on the profile, so a promotion is an edit rather than a print run. For a company of any size this is where most of the saving is: designations and desk phone numbers change far more often than names do, and each change used to invalidate a box of cards.

How is it billed, and do we get a GST invoice?

The Enterprise plan covers 20 profiles under one subscription at ₹5,000/year, billed once to the company rather than expensed by 20 individuals. Beeps Venture Technologies LLP is a registered LLP and issues a GST invoice, so it goes through procurement as a normal annual software line.

Can employees still have their own photo and details?

Yes — the template fixes what should be consistent and leaves the rest to them. In practice companies lock the logo, colours and section order, and let each person manage their photo, direct line, languages and calendar link. Employees are far more likely to keep a profile current when part of it is genuinely theirs.

Do we have to buy physical cards for everyone?

No. The profiles work on their own — every one has a link and a QR code, which many companies put in email signatures and on lanyards first, then order physical cards only for the staff who meet people face to face. Cards are ₹1,699 each, one-time, and can be added at any point.
